Organisation and positions
The organisation in Nova consists of organisational units and – with the “Planstellen (OSP)” add-on – positions. It determines which business roles people receive through their unit or position and who counts as their manager. Administrators maintain it under “Organization”.
Organisational units
Organisational units form a hierarchy: each unit has at most one parent unit. Nova assigns every unit an eight-digit object ID; units from SAP OM carry the object ID from SAP.
- Members: “Add person” adds a person to the unit. Nova sets their department to the unit's object ID.
- Managers: the “Manager” button on a member makes them manager of the unit; clicking it again reverses this. Nova assigns managers the Nova entitlement “Manager” and removes it again when the person is no longer a manager anywhere. Anyone moved to another unit loses their manager status.
- Business roles: a business role attached via “Assign business role…” is received by the members of the unit. If an administrator takes it off the unit again, Nova revokes it from the members; anyone who also receives it through another unit keeps it.
- Inheritance: when “Inheritance” is switched on (“Inherit business roles from parent units”), the unit's members also receive the business roles of all parent units. It is switched off by default.
Business roles a member receives through their unit cannot be removed individually on the identity – only by the person leaving the unit or by taking the business role off the unit.
When an administrator adds a person to a unit, removes them or moves them to another unit, Nova then runs the mover routine – see Joiners, movers, leavers.
Positions
Positions are available with the “Planstellen (OSP)” add-on. Administrators enable it under “Administration” → “Plugins”; after a restart, a unit shows the “Positions” tab.
- A position belongs to exactly one organisational unit and can have holders. A position marked “Chief” leads the unit: its holder counts as the unit's manager.
- Business roles can be attached directly to a position. The holder receives them together with the business roles of the unit the position belongs to – with “Inheritance” switched on, also with those of the parent units.
- An identity holds at most one position at a time. When it is placed on a new one, the previous holding ends; Nova revokes business roles that only the previous position granted.
- From the personnel data, the routine step “Setze Identität auf Planstelle” places an identity on the position named in the attribute P0001-PLANS. This requires a position in Nova with that object ID, for example from the sync with SAP OM.
Structure from SAP OM
The “SAP OM” source system reads the organisational structure from SAP via RFC (tables HRP1000 and HRP1001), limited to one “Plan variant” (default 01). “Root org unit (optional)” narrows the scope further.
- “Org-Struktur lesen” (dialog “Read org structure”) stores the result as a job run and changes nothing in Nova.
- “Org-Struktur abgleichen” (dialog “Sync org structure”) creates or updates organisational units and – with the add-on – positions in Nova, matched by object ID. Nova takes names, parent units and chief positions from SAP. The sync does not set holders; these come from the personnel data – see HR integration.
In the tree under “Organization”, a coloured dot shows whether a unit comes from SAP OM and whether its parent unit still matches SAP.
Managers
For access requests for an identity, approval steps of the “Manager” type go to its manager. That is the “Manager” entered on the identity. Without such an entry, Nova derives the manager from the organisation: what counts is the nearest manager in the identity's unit – a member set as manager or the holder of the chief position –, otherwise the nearest one in the parent units. In the identity's “Overview”, the derived manager is shown as “Org-derived”.
